1. Bids and Budgets

Your first job is to calculate the cost of your prom bid for the year 2012. Using this you will then calculate your total estimated budget. In order to do this, you will need to make the following calculations:

1. Determining Percent Increase - using the cost data from the last four proms you will determine the percent increase of the bids over the four years.
   
   
2. Expected Percentage Increase - using the percent increase, you will calculate the expected percentage increases over the next three years.
   
   
3. Maximum cost of 2012 Prom Bid - using the estimated percentage increase, you will determine the maximum prom bid for the year 2012.
   
   
4. Estimated Budget 2012 - using the cost you calculated for the maximum 2012 Prom bid above, you will determine what the total budget should be.
   
   
5. Individual Budgets - using your Estimated Budget 2012 number, you will decide what percentage of the funds you want to spend on each aspect of the prom.

2. Hiring and Buying

Now that you have decided your percentages, you need to choose a team leader who is going to be responsible for the hiring and buying of each aspect. You will each be responsible for one of the following areas. You can read about each by clicking on a link below. Each page also contains resources for your role.

3. Creating an Excel Budget

After each team leader has completed his or her task from above, print out and complete the following budget worksheet. When you have completed the budget worksheet you will have all information needed to complete your Excel Budget. Using your knowledge of formatting and entering formulas in Excel, create a budget that will display the following information:

1. Each aspect of the prom and its cost.
   
2. The estimated percent of each aspect.
3. The actual percent of each aspect (cost/total cost).
4. The plus or minus of each percent.
5. The total cost of your prom.
6. A pie chart displaying the actual percentages.
7. A bar, column, or line graph displaying the cost of each aspect.

4. Prom PowerPoint Presentation

You will be creating a PowerPoint presentation in preparation for your prom. Your slide show should include a minimum of 7 slides, however, you can add additional slides as necessary. Be creative. Also, you must cite all of your work including text from The Internet, pictures, etc. and include your citations in your Notes Sections below the slide on the appropriate page.

Requirements:

• Title Slide including group member names.
• Overview Slide
• 1 to 2 slides detailing Location and Menu of Prom 2012 (Text and Two Picture slide(s), must include Action Button linked to Location and/or Menu)
• 1 to 2 slides detailing DJ and Favors (Text and Clip Art slide(s))
• 1 to 2 slides detailing Photography and Decorations (Your Choice Slide)
• 1 to 2 slides detailing Budget and Graphs (Use Excel Sheets and Graphs)
• Conclusion Slide

5. Written Analysis

Each group member is responsible for a two-page paper describing the mathematical processes used to complete this activity. You must include the calculations your group used to determine your prom bid cost and overall budget and how you calculated the costs in your individual roles as team leaders. You can include mathematical equations in Microsoft Word by using the Equation Editor. This link will take you to a help page for using Equation Editor. Be sure to explain the mathematical reasoning behind your calculations and discuss any problems you and/or your group had in determining your costs. Also include in your paper a discussion on the process of creating a budget, planning an event, and presenting a proposal to a group. Some questions to keep in mind for your writing are:

• What types of problems did you encounter while calculating your budget and working with your group?
• What new information did you learn and what prior knowledge did you use?
• Were you able to stay within the individual budgets proposed?
• What relationships did you find between this project and what you may encounter in the "real-world"?
